Try the case fully packed. Can you control it on a slope, lift it over a small gap and manage the final walk? A permitted bag can still be uncomfortable. Families, equipment and mobility needs may call for a different plan.
Keep a useful day bag.
Carry your passport, money, medication, phone, charger and valuables yourself. Add a change of clothes and everything you need until the suitcase is actually back with you. Check current airline battery rules before flying.
Pack for the nights apart.
Count all nights between dispatch and reunion, including mountain stays and any delivery buffer. Laundry can make a smaller bag practical. Check each flight’s allowance; airline and railway rules are different.
The flight home: airport hotel or airport counter?
Sending a suitcase to your last hotel is ordinary hotel delivery. Sending it to a departure-airport courier counter is a different arrangement: specify the airport, terminal, flight date, collection counter and required arrival date.
Work backwards from the flight and the counter’s opening hours. Obtain the dispatch deadline from the courier; do not leave this until your last hotel morning. Keep the waybill and enough clothes for the remaining nights.
Airport delivery is not airline check-in. You generally collect the suitcase, then check it in with the airline. An early flight may leave before a particular counter opens; collecting at your airport hotel the previous day may suit better if arranged.
For an ordinary suitcase over 160 cm and up to 250 cm when height, width and depth are added, reserve the appropriate seat with an oversized baggage area. Exactly 160 cm is within the smaller category.
The rear space is for its reserved-seat passengers. A rail pass, Green Car ticket or ordinary seat reservation alone is not the baggage reservation. The appropriate seat costs the usual reserved-seat fare.
Selected Tokaido / Sanyo deck areas have a no-reservation storage trial. It does not remove the over-160 cm reservation requirement. Follow the operator’s current instructions.
Tohoku, Hokkaido, Akita, Yamagata, Joetsu and Hokuriku Shinkansen use different luggage arrangements. The western oversized-baggage seat rule does not simply transfer to Tokyo–Sendai or Tokyo–Nagano.
JR East’s designated luggage areas do not require a baggage-space reservation. Available shared capacity is not guaranteed; keep the case within the general limits and ask staff if space is full.
Usual JR portable-baggage limits: up to two bags, each at most 30 kg, combined dimensions at most 250 cm, and no side longer than 2 m. Small personal items are excluded. Special items have separate conditions.
Lifts, transfers and busy carriages: small things that help
Follow the complete lift route.
Check the lift from street to concourse, through the correct gate and down to the platform. An accessible exit can involve a longer route. Add transfer time; a single lift icon does not describe the whole journey.
Board with a plan.
Find your car position before boarding, let others off and keep the case under control. Use designated areas or safe space at your feet. Put only a bag you can lift safely on an overhead rack; ask staff if unsure.
Leave room for people.
Keep doors, aisles and accessible spaces clear. Take a backpack off your back in a crowded carriage and hold it close. Avoid busy commuter periods when you can; a short taxi or forwarding can remove a difficult final leg.
Who can send it? Couriers, hotels and selected local services
Yamato TA-Q-BIN
A useful nationwide starting point for eligible bags and routes. Check the dispatch location, size / weight band and expected delivery date. Yamato information ↗
Japan Post & Sagawa
Yu-Pack and Sagawa’s selected Hands-Free Travel counters offer other options. Check each product’s coverage and the actual counter’s service; a counter finder is not a confirmed booking. Yu-Pack ↗ · Sagawa counters ↗
Your own hotel
Ask about outgoing dispatch and incoming acceptance separately. APA or Dormy membership does not imply a nationwide internal hotel-to-hotel transfer. Dormy publishes prepaid incoming-bag and return-stay storage arrangements, subject to the property. Dormy FAQ ↗
One tour-specific exception: Prince Smart Inn’s FAQ says it has no outgoing courier service. For our Fuji to the Seven Baths stay at Kyoto Sanjo, ask about a nearby dispatch facility and confirm the receiving Rinku hotel before leaving a case for the two Kinosaki nights. Prince Smart Inn FAQ ↗
Kyoto, Hakone and special hotel services
Kyoto: Crosta
Kyoto Station storage is published at ¥1,000 per item per day, 08:00–20:00. Selected station-to-Kyoto-hotel delivery is ¥1,500 per item: accept by 14:00 for collection at the hotel after 17:00. Confirm your hotel is eligible and that day’s cutoff.
Selected partner hotels use Hakone-Yumoto’s luggage service. Published one-way fees are ¥1,500 regular (up to 140 cm / 15 kg), or ¥2,500 large (up to 200 cm / 30 kg). Station acceptance is 08:30–12:00 for hotel collection after 15:00; check the partner list.
Selected OMO properties and Mitsui Garden’s Kyoto network have specific local arrangements. Check eligible properties, route, cutoff and charge. These do not establish a national service for every hotel in a chain.
Look for an explicitly eligible same-day product and its exact deadline. Airport / airline-linked services can have flight, airport, hotel and arrival-time conditions. Ordinary delivery is not a substitute for a confirmed same-day arrangement.
Ask whether your property can keep the case, for how long and at what cost. Keep valuables yourself and retain any claim ticket.
Returning to the same hotel after a short side trip? Ask specifically about storage between bookings. Dormy publishes this option for a return stay; confirm both reservations and dates with your property. It is storage, not delivery to another hotel.
Use a station’s official map for locker locations, including which side of the ticket gates they are on. If large lockers are full, try a staffed baggage counter or a bookable location such as ecbo cloak.
Check physical bag size, item limits, opening hours, price and collection arrangements. A reserved shop storage place is not a courier service.
Full lockers, closing counters or a locker that will not open
Have a second option before sightseeing: another station area, your hotel, a staffed counter or a confirmed bookable storage place. Staffed airport storage is not necessarily open through the night. Check the exact counter and terminal.
If a locker fails, use the operator contact printed on the machine or receipt and ask station staff for help. Keep the locker number, payment evidence and location. Do not wait until just before your train.
Go to the airline baggage desk with your claim tag before leaving the arrival area. Keep the report and contact details.
Left on a train
Tell station / train staff promptly. Give the train, direction, departure time, car / seat and a bag description or photograph.
A delivery has not arrived
Use the courier tracking number and receipt. Contact the courier and receiving hotel; do not assume a hotel has a bag merely because its arrival was planned.
